The private limited liability company YourRent B.V., having its registered office in Utrecht and its place of business at Overvliet 21, (3545 NG) Utrecht, the Netherlands, registered with the Dutch Chamber of Commerce under number 42011863, is responsible for the processing of personal data as described in this statement.

2. Purposes of Data Processing

We process personal data exclusively for the following purposes:

  • assessing service charge statements

  • determining whether a client is entitled to an energy tax refund

  • communicating with landlords, property managers, or other third parties

  • initiating and handling proceedings before the Rent Tribunal (Huurcommissie) or the courts

  • informing clients about the progress of their case

  • handling payments and payouts

  • improving, securing, and administering our services

  • complying with legal obligations


3. What Personal Data We Process

3.1 Personal Data of Clients

  • First and last name

  • Gender, initials, and date of birth

  • Address details

  • Email address

  • Telephone number


3.2 Property and Rental Data

  • Address of the rental property

  • Period of residence

  • Service charge statement(s)

  • Rental prices

  • Information about the landlord or property manager (insofar as provided by the client)


3.3 Financial Data

  • Bank account number (solely for payments to the client)


3.4 Other Data

  • Correspondence with the client, landlord, Rent Tribunal, and courts

  • Case and file information

  • Log data regarding the use of our website and systems

  • Chamber of Commerce (KvK) number, to verify company data

We do not process special categories of personal data unless this is unavoidable because such data has been provided by the client.


4. How We Obtain Data

We obtain personal data, among others:

  • directly from clients via forms on our website

  • through uploaded documents (such as service charge statements)

  • through correspondence with landlords, property managers, the Rent Tribunal, or courts

  • through third parties, only where necessary for the provision of our services


5. Legal Basis for Processing

We process personal data based on:

  • performance of a contract

  • consent of the data subject

  • legal obligations

  • legitimate interests, such as efficiently and carefully providing our services and preventing misuse


6. Sharing Personal Data with Third Parties

We only share personal data when necessary.

This may include:

  • landlords or property managers

  • the Rent Tribunal (Huurcommissie)

  • the courts

  • IT service providers (such as hosting, CRM, and e-signing providers)

  • if you contact us via WhatsApp, Facebook, or Instagram, your data may also be processed on Meta’s servers

We enter into data processing agreements with parties that process personal data on our behalf. We do not sell or rent personal data to third parties.



7. Transfers Outside the EU
If personal data is processed outside the European Economic Area, we ensure appropriate safeguards in accordance with the GDPR.



8. Retention Periods
We do not retain your personal data longer than necessary to provide the requested services or to comply with legal obligations. Retention periods may vary depending on the type of data and legal requirements. When your data is no longer needed, it will be securely and permanently deleted.

If you believe we are not handling your request properly, you have the right to lodge a complaint with the supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

We may amend this privacy statement due to changes in our services or legislation. The most recent version is always available on our website.

This privacy statement has been drafted in Dutch and translated into English for convenience. In the event of any conflict or inconsistency between the Dutch version and the English translation, the Dutch version shall prevail. No rights can be derived from the English translation.
